Privacy Policy

The Institute of Coaching at McLean Hospital, a Harvard Medical School Affiliate (IOC), recognizes the importance of protecting the privacy of information provided by users of our web site, certified individuals and employees, event registrants, recipients of our e-mail newsletters and all of our members and sponsors.  As part of McLean Hospital, the IOC adheres to and is subject to the privacy policy here (applicable sections covering website privacy and social media policy for website visitors).  The below privacy statements highlight portions of this policy (for the full policy, see here).

Information Collection and Use

IOC collects information from our web site users, members, sponsors and non-members. We describe below the type of information we collect and how we use it to provide better services to our members/donors and non-members.

Registration and Membership

When registering for select events (webinars, ICLF, and Roundtable Events) or signing up for membership or sponsorship, users are required to give their contact information (such as name, mailing address, e-mail address and phone number). We also may collect demographic information (such as title, company information and areas of interest, etc…). For internal purposes, we use this information to communicate with members and provide requested and purchased services, and, for our web site visitors, to provide a more personalized experience on our sites. We use aggregate demographic information about our audience to improve our service and for marketing purposes.

For our services that require payment (such as membership and sponsorship dues/donations and some events), we also collect credit card information through McLean Hospital  (such as card holder name, credit card number, billing address, credit card security code and expiration date), which is used for billing purposes only, and is not otherwise shared.

Communications

In order to best serve our members, we may send updates that contain important information about our programs, membership and sponsorship. For example, we send new members a welcome message, and verify email and user credentials for our password-protected website. We may also communicate with a member, sponsor or contact to provide requested services and for membership or sponsorship related issues via e-mail, phone or regular mail. We offer our users the option to receive information about our organization, program and other offerings. Users have the option (on every communication sent) to stop receiving these communications.

Automatic Data Collection

Our website has features that automatically collect information from users, to deliver content specific to users' interests and to honor their preferences. This information assists us in creating a site that will serve the needs of our members, sponsors and visitors.

We use "cookies," a small data file stored on the your device when a user visits the IOC website.  It contains information about the user. Cookies benefit the user by requiring login only once, thereby saving time while on our site. If the use of cookies is rejected, members and others will be limited in the use of some areas of our site. The use of cookies enable us to track and target the interests of our users to enhance the experience on our sites.

For our internal purposes, we gather date, time, and navigation history of all visitors to our site. This anonymous information does not contain information that can identify users personally. We use this information for our internal security audit log, trend analysis and system administration, and to gather broad demographic information about our user base for aggregate use.

Correction/Updating Information

Members and sponsors may update their personally identifiable information (such as a change in address, email, or phone number), by logging into the IOC website, or by contacting us here.

Security

We use industry-standard encryption technologies when transferring and receiving your information. Additionally, our certified hosting service (bluehost.com) implements commercially reasonable security measures at our physical facilities to protect against loss or misuse of your information.

Your Data Protection Rights (European Economic Area)

In some regions, such as the EEA, you may have certain rights in relation to your personal information, including the right to access, correct, update, or request deletion of your personal information. The IOC takes reasonable steps to ensure that the data we collect is reliable for its intended use, accurate, complete, and up to date. You also can manage your profile on our website, as described above. However, if you are not a user of our website and you want to contact us directly about accessing, correcting, updating, or deleting your personal information, or altering your data or marketing preferences, you can do so at any time by contacting as provided in the Contact Us section

You can object to processing of your personal information, ask us to restrict processing of your personal information, or request portability of your personal information. You can also deactivate your membership and profile, and obtain a copy of your information.  Again, you can exercise these rights by contacting us here.

You can complain to a data protection authority about our collection and use of your personal information. For more information, please contact your local data protection authority.

Similarly, if we have collected and processed your personal information with your consent, then you can withdraw your consent at any time. Withdrawing your consent will not affect the lawfulness of any processing we conducted prior to your withdrawal, nor will it affect processing of your personal information conducted in reliance on lawful processing grounds other than consent.

We respond to all requests we receive from individuals wishing to exercise their data protection rights in accordance with applicable data protection laws. We may ask you to verify your identity in order to help us respond efficiently to your request.

Notification and Changes

If we change our privacy policy, we will post those changes on this page so our users are aware of what information we collect, how we use it and under which circumstances, if any, we disclose it. Users should check this policy frequently to keep abreast of any changes.
